Transparency & AI
Last updated: September 30, 2026
Procezo is an automation and artificial intelligence consultancy. This policy sets out, transparently, the terms under which artificial intelligence is used and data is processed, both on this website and in the projects developed for clients.
1Principles
Procezo's use of artificial intelligence is governed by three principles: transparency about the technologies used, human oversight of decisions, and protection of the data processed, in accordance with the GDPR and the European Union's Artificial Intelligence Regulation.
2Artificial intelligence on the website
The website provides an artificial intelligence assistant, identified as Procezo's AI Agent, which answers questions about Procezo and, where the user wishes and authorizes it, collects their contact details so the team can follow up on the request. Interaction with the assistant is identified as such throughout the conversation.
Responses are generated by an artificial intelligence model, may contain errors, and do not constitute an offer or commitment by Procezo. The assistant does not make decisions with effects for the user: each request is followed up by the team. Conversations are recorded and retained for 90 days, under the terms of the Privacy Policy.
3Artificial intelligence in projects
Procezo uses artificial intelligence models provided by external providers, namely OpenAI and Anthropic, in the design and operation of the solutions it develops. Data processing through these providers is carried out under their respective enterprise terms, which do not provide for the use of data to train the models.
4European Union Artificial Intelligence Regulation
Procezo designs and operates its solutions in line with Regulation (EU) 2024/1689 (the Artificial Intelligence Act). Human judgment is maintained at the relevant decision points, and interaction with artificial intelligence systems, as well as the content they generate, is identified as such. The roles and responsibilities of each party under the Regulation are defined contractually in each project.
5Human oversight
Automation takes over the execution of processes, with human judgment retained where necessary. Relevant decisions remain under human responsibility, with Procezo ensuring validation mechanisms appropriate to each solution.
6Data processing and protection
In projects, and wherever the service model allows, the infrastructure is hosted in a dedicated environment, ensuring ownership and control of the data. Each project is conducted in an isolated environment and under confidentiality. The website is a distinct case: processing of form and assistant data relies on processors (website hosting, submission processing and automation, email delivery, and generation of the assistant's responses), subject to the applicable contractual and legal obligations regarding data protection and confidentiality, as described in the Privacy Policy. Procezo does not process sensitive personal data, in particular clinical data, limiting processing to the purposes agreed with each client. In the website assistant, users are likewise asked not to share sensitive personal data.
7Data collected through the form and the assistant
Data submitted through the contact form is processed to respond to the request and manage any relationship arising from it, based on Procezo's legitimate interest, in accordance with the Privacy Policy. Consent for marketing communications is collected separately and optionally.
Contact data collected through the assistant is processed based on the consent given during the conversation, under the terms of the Privacy Policy. The assistant does not collect consent for marketing communications.
8Traffic measurement
The website uses Google Analytics for traffic measurement, exclusively subject to prior express consent given in the cookie banner. Users who do not consent are not measured. Further details are set out in the Cookie Policy.
9Legal framework
Procezo processes personal data in accordance with the GDPR and operates in accordance with the applicable European regulatory framework for artificial intelligence. Requests regarding personal data may be addressed to info@procezo.pt.
