Privacy Policy

Last updated: September 30, 2026

This Privacy Policy describes how Procezo collects and processes the personal data of users of procezo.pt in accordance with the General Data Protection Regulation (GDPR).

  1. 1Data controller

    Zénite Pensador, Lda, operating under the Procezo brand · Portuguese Tax ID (NIPC) 519561287 · Registered office: Rua do Tronco, 375, 4465-275 São Mamede de Infesta, Matosinhos, Portugal · Email: info@procezo.pt

  2. 2Data collected

    Procezo may collect the following data: information submitted through the contact form, including name, email address, phone number, company, message and, optionally, Tax ID; the email address and language used to subscribe to the newsletter, together with the date and time of the corresponding consent; and browsing data used for analytics, subject to the user's consent, as described in the Cookie Policy.

    When interacting with the website's artificial intelligence assistant, the content of the conversation, the IP address, and the language used are recorded. If the user wishes to be contacted and authorizes it during the conversation, their name, email, company, phone number, a short description of their need and, optionally, Tax ID are also collected, together with a record of that authorization. Users are asked not to share sensitive personal data (for example, health data) in the conversation.

    Procezo also records the user's confirmation that they have read the Privacy Policy, which is required to submit the form, as well as any optional consent provided for marketing communications, including the corresponding date and time for evidentiary purposes.

  3. 3Purposes and legal basis

    Data submitted through the contact form is processed to respond to the inquiry and manage any relationship arising from it, based on Procezo's legitimate interest in following up on inquiries addressed to it.

    Conversations with the assistant are processed to respond to the questions raised, and the IP address to ensure the security of the service and prevent abusive use, based on the same legitimate interest. Contact data collected through the assistant is processed to follow up on the request, based on the consent given during the conversation, which may be withdrawn at any time through info@procezo.pt.

    Newsletter and other marketing communications are sent on the basis of the data subject's consent. Traffic analytics data is processed only where prior consent has been provided.

  4. 4Retention

    Data submitted through the contact form is retained for 24 months from the date of the last contact.

    Where a commercial relationship exists, the data is retained for the duration of that relationship and for any applicable statutory retention period. Where no other legal basis justifies further retention, the 24-month period is counted from the end of the commercial relationship.

    Conversations with the assistant, including the IP address, are retained for 90 days and then automatically deleted. Where a conversation results in a contact request, the conversation and the IP address are deleted within the same period, and only the contact data is retained, under the terms set out for form data.

    Once the applicable retention period has expired, or where a valid request for erasure applies, the data is deleted or anonymized, without prejudice to any legal obligations requiring its continued retention. Newsletter data is retained for as long as the subscription remains active. After the subscription is canceled, only the email address is retained on a suppression list, solely to ensure that no further communications are sent to the data subject unless they subscribe again, based on Procezo's legitimate interest in honoring that decision.

  5. 5Data sharing and processors

    Procezo does not sell personal data or disclose it to third parties for their own purposes.

    Processing of form and assistant data may involve processors acting on Procezo's behalf, under its instructions and responsibility, including providers in the following categories:

    • website hosting;
    • submission processing and automation;
    • email delivery;
    • generation of the assistant's responses, by an artificial intelligence model provider;
    • services required to support Procezo's digital infrastructure.

    The newsletter also relies on an email delivery provider.

    Processors engaged by Procezo are subject to the applicable contractual and legal obligations regarding data protection and confidentiality.

    Data collected through the website is not used to train artificial intelligence models. Conversations with the assistant are processed by the artificial intelligence model provider solely to generate the responses, and retained by that provider only for a short period, under its enterprise terms.

    Whenever processing involves a transfer of personal data outside the European Economic Area, Procezo ensures that a valid transfer mechanism is in place in accordance with the GDPR and other applicable requirements.

    For information regarding the processors involved in the processing, the data subject may contact info@procezo.pt.

  6. 6Marketing communications and newsletter

    Marketing communications and the newsletter are sent only where the data subject has provided express consent.

    Consent may be withdrawn at any time through the unsubscribe link included in the communication or by contacting info@procezo.pt.

    Withdrawal of consent does not affect the lawfulness of processing carried out before consent was withdrawn.

  7. 7Data subject rights

    Under the GDPR and where applicable, data subjects may exercise the rights to: access; rectification; erasure; objection; restriction of processing; data portability.

    Requests may be submitted to info@procezo.pt.

    Data subjects also have the right to lodge a complaint with the Portuguese Data Protection Authority (CNPD).

  8. 8Security

    Procezo implements appropriate technical and organizational measures designed to protect personal data against unauthorized access, loss, alteration, improper disclosure, or other unlawful processing.

    These measures are assessed according to the nature of the data processed, the purposes of processing, and the risks involved.

  9. 9Changes

    This Privacy Policy may be updated when necessary.

    The version currently in force is the version published on this page and identified by its last-updated date.
